Connect Your Calendar
3SixtyFive runs on Google Calendar to manage availability. If you don’t already use Google, follow these steps to bridge your work email:
1. Go to Google Calendar
.
2. Add another account (or create one).
3.Enter your name and birthdate.
4. Select Use existing email and enter your work email.
5. Enter the verification code sent to that address.
6. Create a password.
7. You’re connected! ✅
Use this calendar to log vacations, out-of-office meetings, and other appointments. The system will automatically read these events as busy slots, ensuring your receptionist doesn’t double-book.
Creating Doctor Specific Calendars
If your clinic has multiple doctors or staff, create a separate calendar for each of them:
1. On the left sidebar in Google Calendar, under Other calendars, click + → Create new calendar.
2. Name it after the doctor (e.g., Dr. Smith).
3. Repeat for each doctor.
4.Go to Settings → Settings for my calendars → [Doctor’s calendar] → Share with specific people.
5. Enter the doctor’s email address (give them Make changes to events access).
6. In the same screen, add bookings@3sixtyfive.ai
(give Make changes and manage sharing access).
This allows us to integrate calendars via API and run functionality tests. All shared data remains fully confidential and will never be disclosed to third parties.
Installing the Chat Widget
To enable the 3SixtyFive AI receptionist on your website, you’ll need to install the Retell chat widget. Each clinic or firm will receive a custom code snippet from our team during setup — this ensures your widget is fully branded and linked to your account.
1. Copy the code snippet we send you.
2. Go to your website builder or CMS (WordPress, Wix, Squarespace, etc.).
3. Paste the code into your site’s section, or use the “Custom Code/Embed” option if your builder provides it.
4. Save and publish your site.
5. Refresh the page — the chat widget should now appear in the corner of your website, customized with your clinic’s assistant name.
Business Number Requirements
3SixtyFive uses Twilio to assign business phone numbers. Some countries require documentation before a new business number can be activated. You can review the requirements for your country here: Twilio Regulatory Guidelines.
Examples of documents that may be requested:
Business registration certificate
Proof of address (utility bill, bank statement)
Government-issued ID
Our team will guide you through this process step by step during setup to ensure compliance and smooth activation.
